Running Site Inspections and Logging Status

Turn a site visit into a structured record attached directly to the deal - so the proposal can be built from real findings, not a technician's memory.

Schedule a Site Visit From the Deal

Why it matters: Scheduling from the deal itself means the visit is already linked - no separate calendar entry to reconcile later.
  1. Open the Deal and click Schedule Site Visit
  2. Choose a date, time, and assigned technician
  3. The deal automatically moves to the Site Visit Scheduled stage

Open the Inspection Form on Mobile

Why it matters: Technicians fill this out on-site, on their phone - not from memory back at the office at the end of the day.
  1. Open the CrmLeaf mobile app and go to Today's Visits
  2. Tap the scheduled deal to open its Inspection Form

Log Roof Condition & Shading Analysis

Why it matters: These two fields are what actually determine system feasibility - getting them right on-site avoids a costly redesign later.
  1. Select roof condition: Good, Fair, or Needs Repair
  2. Log shading analysis by time of day, or attach a shading tool reading
  3. Note roof orientation and pitch

Capture Site Photos

Why it matters: Photos give your design and sales team context no written note fully captures, and protect against disputes later about site condition.
  1. Tap Add Photo and capture the roof from at least two angles
  2. Photograph the electrical panel and meter location
  3. Photos attach automatically to the deal's Files tab, tagged Site Photo

Record Electrical Panel Capacity

Why it matters: Panel capacity determines whether a service upgrade is needed - missing this detail is one of the most common causes of a mid-project surprise.
  1. Log the panel's amperage rating
  2. Note whether a service upgrade appears necessary
  3. Flag any visible code violations for the design team to review

Mark Inspection Complete

Why it matters: This is the trigger that moves the deal forward - an inspection sitting in draft doesn't advance the sale.
  1. Review all fields for completeness
  2. Tap Submit Inspection
  3. The deal automatically advances to the Inspection Completed stage

Trigger the Proposal Stage

Why it matters: This is the handoff moment most likely to stall a deal if it's manual - automating it protects your fastest-to-close window.
  1. Confirm the assigned sales rep receives a notification that inspection is complete
  2. Open the Proposal tab and click New Proposal → From Inspection to begin same-day
