Overview
CrmLeaf hosts a public careers site for your account. Published job openings are listed there, and candidates apply from that page without needing an internal login. The job board, global recruitment and email notification settings control how the listings are presented and who is informed when recruitment activity happens.
How It Works
You configure the recruitment settings once, publish job openings, and the careers pages present them to candidates. Applications submitted from the careers site are created directly in CrmLeaf, and job alerts notify subscribed candidates about new openings.
Configure job board → Configure notifications → Publish jobs → Candidate applies → Application created
- Job board settings control the presentation of the public job listings.
- Global recruitment settings apply across the module rather than to a single job.
- Email notification settings determine which recruitment events generate an email.
- Job alerts let candidates be notified when new openings are published.
- Each application created from the careers site is linked to the job opening it was submitted against.
Who Can Use This Feature?
Administrator
- Configure the job board, global recruitment and email notification settings.
- Control which job openings are published to the public careers pages.
- Manage job alert availability for candidates.
This functionality is available only to Administrators.
Prerequisites
- The Recruitment add-on module is enabled for your account.
- Your company profile and branding are configured, because the careers pages are public and represent your organisation.
- Outgoing email is configured for your account so candidate and recruiter emails can be sent.
- At least one job opening exists to publish.
For Administrators
Step 1: Open the recruitment settings
Open the recruitment settings area for your account. It holds the job board settings, the global recruitment settings and the email notification settings.
What to verify: All three settings groups are available to you. If they are not, your role does not have recruitment settings access.
Step 2: Configure the job board
What to do: Set the job board options that control how published openings are presented on your public careers pages. Save the settings.
What to verify: Open the public careers page in a browser where you are not signed in, and confirm the listing reflects your settings.
Step 3: Configure global and email notification settings
What to do: Review the global recruitment settings, then set which recruitment events send email notifications and to whom. Save each group of settings.
What to verify: Submit a test application against a published job and confirm the expected notification is received.
Step 4: Publish the job openings you want listed
What to do: Publish each opening that should appear publicly, and unpublish openings that are closed or on hold.
What to verify: Only the intended openings are listed on the careers page.
Step 5: Confirm the candidate journey
What to do: From the public careers page, open a job, review the application form and confirm the custom questions for that job are shown. Confirm that job alerts can be subscribed to where you have enabled them.
What to verify: A submitted application appears under Job Applications against the correct opening.
Expected Result
Your public careers pages list the published job openings, candidates can apply against them, and applications arrive in CrmLeaf with the configured notifications sent.
Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- Recruitment is a paid add-on module. Confirm it is included in your plan before you publish a careers page.
- The careers pages are public. Review the salary and location details on each opening before publishing.
- Recruitment notifications sent by email also reach the CrmLeaf mobile app as push notifications, because mobile push follows the email notification channel.
Common Scenarios
Example: linking the careers page from your website. You want candidates to reach your openings from your own site. Publish the openings in CrmLeaf, then link your website's "Careers" navigation item to the CrmLeaf careers page so the listing stays current without any manual updates.
Troubleshooting
| Issue | Possible Cause | Resolution |
|---|---|---|
| The careers page shows no jobs. | No job opening is published. | Publish at least one opening under Jobs. |
| No email is received when a candidate applies. | Email notification settings are off, or outgoing email is not configured for the account. | Enable the relevant notification and check your email configuration. |
| An application is not linked to the expected job. | The candidate applied through a different opening. | Open the application and check the job it was submitted against. |
Frequently Asked Questions
Do candidates need a login to apply?
No. Candidates apply from the public careers page. A candidate portal login is used later for onboarding and document upload.
Can each job have its own questions on the careers page?
Yes. Custom questions are defined per job opening and shown on that job's application form.
How are candidates told about new openings?
Through job alerts, which notify candidates when new openings are published.
