Overview
Interviews record how a candidate performed at each stage of your hiring process. In CrmLeaf an interview schedule links a candidate's application to an interview stage, the interviewers, the meeting details and any supporting files. After the interview, interviewers record evaluations and comments, and the interview history stays on the candidate's record for later reference.
How It Works
You schedule an interview from the candidate's application, choosing the stage defined on the job opening. Interviewers conduct the interview, record their evaluation and comments, and the outcome informs the next status change on the application.
Schedule → Notify interviewers → Conduct → Evaluate → Comment → Advance the application
- The available interview stages come from the interview stages defined on the job opening.
- An interview can have more than one interviewer, and meeting details are recorded on the schedule.
- Files can be attached to the schedule, for example an assessment task or a portfolio to review.
- Evaluations and comments are recorded against the interview, and the interview history is retained.
- Advancing or rejecting the candidate is done on the application, using the configured application status pipeline.
Who Can Use This Feature?
Administrator
- Define the interview stages available on each job opening.
- Grant recruitment access so recruiters can schedule interviews and interviewers can record evaluations.
- Review interview history and evaluations across openings.
User
- Schedule an interview from a candidate's application.
- Assign interviewers and record the meeting details and stage.
- Record an evaluation and add comments after the interview.
Access depends on the modules and role assigned by your Administrator.
Prerequisites
- The Recruitment add-on module is enabled for your account.
- The job opening has its interview stages defined.
- The candidate has an application on that opening.
- The interviewers have CrmLeaf user accounts.
For Administrators
Step 1: Confirm the interview stages on the job
What to do: Open the job opening and review its interview stages. Adjust them before interviewing starts, so every candidate for the opening is assessed in the same sequence.
What to verify: The stages appear in the interview schedule form for candidates on this opening.
Step 2: Confirm interviewer access
What to do: Check that the users who will interview have the recruitment access needed to open the schedule and record their evaluation.
What to verify: An assigned interviewer can open the interview and submit an evaluation.
For Users
Step 1: Open the candidate's application
Open the application for the candidate you want to interview and confirm the current status.
Step 2: Schedule the interview
Select Add to create the schedule. Select the candidate's application, the interview stage, the interviewers and the meeting details, then Save.
Step 3: Attach supporting files
Use Upload to attach anything the interviewers need, such as an assessment brief or documents the candidate submitted.
Step 4: Record the evaluation
After the interview, open the schedule and record the evaluation for the candidate, then add comments explaining the assessment. Each interviewer records their own view.
Step 5: Advance the candidate
Return to the application and move it to the next status in the pipeline, or reject it. If a further stage is required, schedule the next interview against that stage.

Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- Recruitment is a paid add-on module. Confirm it is included in your plan.
- Interview schedule reminders sent by email also arrive as push notifications on the CrmLeaf mobile app, because mobile push follows the email notification channel.
- Record the evaluation while the interview is fresh. The interview history is what later reviewers and the offer decision rely on.
Common Scenarios
Example: a panel interview. Three managers assess one candidate together. Create a single interview schedule for the stage, add all three as interviewers, and let each record their own evaluation and comments so the panel's views are visible side by side.
Troubleshooting
| Issue | Possible Cause | Resolution |
|---|---|---|
| The required interview stage is not listed. | The stage is not defined on the job opening. | Add the stage to the opening, then reopen the schedule form. |
| An interviewer cannot open the interview. | Their role does not have recruitment access. | Ask an Administrator to grant access. |
| The evaluation cannot be recorded. | The user is not an assigned interviewer on the schedule. | Add them as an interviewer on the schedule. |
Frequently Asked Questions
Can a candidate have several interviews?
Yes. Schedule one interview per stage the candidate must pass, and each keeps its own evaluation and comments.

Evaluations and comments are recorded for the recruiting team. Only what you communicate to the candidate directly is shared with them.
What happens to interviews if the candidate is rejected?
The interview records and their history remain on the application for future reference.
