Overview
The candidate portal is the area where a candidate signs in to follow their own application. It gives the candidate a dashboard, their onboarding steps once an offer is accepted, and a place to upload the documents the employer has requested. Candidates can also subscribe to job alerts to hear about new openings.
How It Works
A candidate applies from the public careers page, then signs in to the portal to see their dashboard. If they are hired, their onboarding appears in the portal and they complete their steps and upload documents there. The recruiting team sees everything the candidate submits inside CrmLeaf.
Apply → Sign in to the portal → Review dashboard → Complete onboarding → Upload documents
- The portal is for candidates, and is separate from the internal CrmLeaf workspace used by staff.
- Onboarding appears in the portal only after an onboarding policy has been applied to the candidate.
- Uploaded documents are attached to the candidate's record, so the recruiting team does not need them by email.
- Job alerts notify the candidate when new openings are published on the careers site.
Who Can Use This Feature?
User
- Sign in to the candidate portal and view the dashboard.
- View and complete the onboarding steps assigned to them.
- Upload requested documents.
- Subscribe to job alerts for new openings.
The candidate portal is used by candidates. Internal staff manage the same records inside CrmLeaf, subject to the modules and role assigned by their Administrator.
Prerequisites
- The employer has the Recruitment add-on module enabled.
- You have applied for an opening, or the recruiting team has created your candidate record.
- You have candidate portal login details.
- Your documents are ready as files you can upload.
For Users
Step 1: Sign in to the portal
Open the candidate portal login page for the organisation you applied to and sign in with your candidate login details.
Step 2: Review your dashboard
The dashboard shows the current state of your application. Check it before contacting the recruiting team, because status changes appear here.
Step 3: Complete your onboarding
If you have accepted an offer and the employer has applied an onboarding policy, your onboarding steps are listed in the portal. Work through them in order and complete each task.
Step 4: Upload your documents
Use Upload to add each requested document. Upload clear, complete files, and check that every requested document shows as uploaded.
Step 5: Subscribe to job alerts
If you want to hear about future openings, subscribe to job alerts so you are notified when new jobs are published on the careers site.
Expected Result
You can sign in to the candidate portal, see your dashboard and onboarding, and your uploaded documents are recorded against your candidate record for the recruiting team to review.
Important Notes
- Menu names and their position can differ between product editions and can be customised for the organisation, so what you see may not match these paths exactly.
- The candidate portal is available only where the employer has enabled the paid Recruitment module.
- Applying for a job does not require a portal login. The login is used for onboarding and document upload.
- If a document is wrong, upload the corrected file and tell the recruiting team, rather than assuming the earlier file will be ignored.
Common Scenarios
Example: submitting documents before the joining date. Your offer is accepted and the employer asks for identity and qualification documents. Sign in to the portal, open your onboarding, upload each file against the relevant task, and confirm nothing is left outstanding before your first day.
Troubleshooting

|---|---|---|
| You cannot sign in to the portal. | No candidate portal login has been issued for you. | Contact the recruiting team at the organisation you applied to. |
| No onboarding is shown. | No onboarding policy has been applied to your candidate record yet. | Wait until the employer applies it, or ask the recruiting team. |
| No job alerts are received. | You are not subscribed, or no new openings have been published. | Subscribe to job alerts and check the careers page for current openings. |
