Overview
A job opening is the record that drives every other part of recruitment in CrmLeaf. It defines what you are hiring for, which skills and location apply, who recruits for it, and which interview stages a candidate must pass. Once a job opening is published, it appears on your public careers pages so candidates can apply directly, and every application that arrives is linked back to that job.
How It Works
You prepare the supporting master data first, create the job opening, define its screening questions and interview stages, then publish it. Applications collected against the job flow into the application pipeline.

- Job categories and job types group your openings for filtering and reporting.
- Skills come from a shared taxonomy and are tagged on the job, so candidates can be matched against them.
- Custom questions are answered by the candidate when applying, and the answers are stored on the application.
- The interview stages set on the job become the stages available when its candidates are interviewed.
- Publishing makes the job visible on your public careers pages.
Who Can Use This Feature?
Administrator
- Enable the Recruitment module and grant recruitment access to the relevant roles.
- Maintain job categories, job types and the Skills taxonomy.
- Create, edit and publish job openings, and assign the recruiter.
- Define custom questions and interview stages for each job.
This functionality is available only to Administrators, or to users a role has been granted recruitment access by an Administrator.
Prerequisites
- The Recruitment add-on module is enabled for your account.
- Job categories, job types and skills exist, or you create them as part of this task.
- The user who will act as recruiter already has an account in CrmLeaf.
- Your careers site and job board settings are configured if you intend to publish the job publicly.
For Administrators
Step 1: Prepare the supporting master data
What to do: Add the skills you want to tag on job openings and candidates. Then open the job category and job type lists and add the categories and types your hiring plan needs.
What to verify: Each skill, category and type you need appears in its list before you create the job.
Step 2: Create the job opening
What to do: Select Add and complete the job record: category, type, the skills required, the work location and the salary details for the role. Complete every mandatory field before you save.
What to verify: The saved job appears in the Jobs list with the category, type and location you entered.
Step 3: Add custom questions
What to do: Add the screening questions candidates must answer when they apply to this job. Keep them specific to the role, because the answers are used to shortlist applications.
What to verify: The questions are listed on the job record and appear on the public application form for that job.
Step 4: Define the interview stages and recruiter
What to do: Set the interview stages the job will use, in the order candidates should pass through them, and assign the recruiter who owns the opening.
What to verify: The stages you defined are offered when an interview is scheduled for a candidate on this job.
Step 5: Publish the job
What to do: Publish the job so it is listed on your public careers pages. Keep a job unpublished while it is still being drafted or while hiring is on hold.
What to verify: Open your public careers page and confirm the job is listed with the correct title, location and salary information.

Expected Result
The job opening is saved and listed in Jobs, and once published it appears on your public careers pages where candidates can apply against it.
Service Organisation Context
In a professional services organisation an open role is usually a bench gap: the skill the next engagement needs and the current team cannot cover. Tagging the opening from the shared skills taxonomy matters because the same skills data is held on the employee record in HR, so a skill captured during hiring stays usable when that person is later considered for staffing. The interview stages defined on the job are also where the technical depth a client-facing role is judged on gets assessed. The same job records serve manufacturing, retail and administrative hiring without change.
Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- Recruitment is a paid add-on module. Confirm it is included in your plan before you rely on it.
- Define interview stages before you start scheduling interviews. Changing stages while candidates are in progress makes reporting harder to read.
Common Scenarios
Example: hiring for two locations. You need the same role in two cities. Create one job opening per location so each has its own applications, recruiter and public listing, and use the same job category and skills on both for consistent reporting.
Troubleshooting
