Overview
A check-in is the regular update that moves a Key Result forward. Check-ins are how progress enters the OKR system in CrmLeaf: each one updates the Key Result's metric, the Key Results are scored, and the score rolls up to the Objective and onto the performance dashboard. Without check-ins, an Objective has no progress to report.
How It Works
You open the Key Result you own, record a check-in against its metric, and the progress status recalculates. Scores roll up from Key Results to their Objective, and the performance dashboard summarises where things stand.
Open Key Result → Record check-in → Metric updates → Score recalculates → Rolls up to Objective → Dashboard
- Check-ins are recorded against Key Results, not directly against the Objective.
- The progress status reflects the latest check-in data.
- Scoring and rollup produce the Objective's overall progress from its Key Results.
- The performance dashboard presents OKR scores so managers can see progress without opening each record.
Who Can Use This Feature?
User
- Record check-ins on the Key Results they own.
- Review the progress status of their Objectives.
- View OKR scores on the performance dashboard where their role allows it.
Access depends on the modules and role assigned by your Administrator. Administrators configure the module and can review scores across the organisation.
Prerequisites
- The Performance add-on module is enabled for your account.
- An Objective exists with at least one Key Result and a metric.
- You are the owner of the Objective or Key Result, or your role allows you to update it.
- You have the current figure for the metric you are updating.
For Users
Step 1: Open the Objective
Open the Objective that holds the Key Result you want to update, and review the Key Results listed on it.
Step 2: Record the check-in
Select the Key Result and record a check-in with the current value of its metric. Save the check-in.
Step 3: Confirm the progress status
Check that the Key Result's progress has changed and that the Objective's progress status has been recalculated from its Key Results.
Step 4: Review the scores
Review the scores for your Key Results and Objectives. Use this view to see which Objectives are behind before your next review meeting.
Step 5: Keep the cycle regular
Record check-ins on the cadence your team agreed. Regular short updates give a reliable trend; occasional large updates do not.
Expected Result
The check-in is saved against the Key Result, the Key Result's progress and score are updated, and the Objective's progress status and the performance dashboard reflect the new position.
Service Organisation Context
In service delivery a check-in cadence usually works best when it follows the engagement rhythm rather than the calendar — at a milestone, or at the end of a phase, when there is something real to report. For consultants who spend most of the week on client sites, a short recorded update is often the only reliable progress signal a delivery manager gets between reviews. Treat OKR scores as a goal measure only. They are not a utilisation or delivery-performance metric; those still have to be derived from the Time Log Report and the project's own data.
Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- Performance is a paid add-on module. Confirm it is included in your plan.
- Progress comes only from check-ins on Key Results. An Objective with no Key Results cannot be scored.
- Discuss check-in progress in your 1:1 meetings so the numbers lead to agreed action items.
Common Scenarios
Example: a monthly reporting cycle. Your team reports OKRs at the start of each month. Each owner records a check-in on the last working day of the month, then the manager reviews OKR Score before the review meeting, so the discussion starts from current data rather than recollection.
Troubleshooting
| Issue | Possible Cause | Resolution |
|---|---|---|
| You cannot record a check-in. | You do not own the Key Result and your role does not allow updating it. | Ask the owner to record it, or ask an Administrator to widen your access. |
| The score did not change after a check-in. | The check-in value matches the previous value, or the Key Result has no metric. | Confirm the metric is set and the new value differs. |
| The dashboard shows no scores. | No Objectives with Key Results and check-ins exist yet. | Create the Key Results and record the first check-ins. |
Frequently Asked Questions
How often should check-ins be recorded?
CrmLeaf does not impose a cadence. Agree one with your manager and keep to it, so trends are comparable.
Can I check in on the Objective directly?
No. Check-ins are recorded on Key Results, and their progress rolls up to the Objective.
Can a manager see my scores?
Yes, where their role gives them access. OKR scores are presented on the performance dashboard.
