Create & Reference

A credit note records an amount owed back to a client, for example after an over-billing, a returned item or an agreed price reduction. You raise it against the client, add line items describing what is being credited, and apply the relevant tax rates.

Reference the original invoice for a clear audit trail between the charge and the adjustment, or create a standalone adjustment when there is no single invoice to link to, such as a goodwill credit or a retrospective volume discount.

Apply to Invoices

Apply a credit note against one or more open invoices to reduce their outstanding balance. The invoice reaches paid status only when nothing remains outstanding, whether through credit notes, payments or both.

If the credit exceeds one invoice's balance, the remaining amount stays available for other invoices for the same client, so one credit note can settle adjustments across several invoices.

The credit note stays as the permanent record of what was conceded and why, keeping receivables accurate for period-end reconciliation.

Convert to Invoice

When the agreed treatment is to bill the credit as a separate document, convert the credit note into a standalone invoice. The new invoice is created from the credit note's line items, giving the client a document they can process through their own accounts payable.

This is common when the client has no outstanding invoices to apply the credit against, or when a scope change first recorded as a credit is later agreed to be billed separately.

The converted invoice follows the same workflow as any other invoice: send it, track payment and export it as a PDF.
