How each capability works

Currency Management

Every CrmLeaf account has a base currency, the home currency your company reports in. Dashboards, financial summaries and consolidated reports convert multi-currency transactions back to it, so you always see one coherent picture of revenue and costs.

Add every currency your business transacts in. Each one has a display format: symbol position (prefix or suffix), decimal places and thousands separator, so an invoice in Japanese Yen shows the amount the way your finance team expects.

Currency settings are held at company level and shared across all organizations in the account.

Built in

  • Define a base currency for consolidated financial reporting
  • Add any number of transaction currencies
  • Configure symbol, decimals and separators per currency
  • Currency catalog shared across all organizations in the account
  • Dashboards and reports convert to base currency automatically
  • Base currency for reporting
  • Unlimited transaction currencies
  • Display format per currency
  • Company-level settings

Exchange Rates

CrmLeaf connects to an exchange-rate API using a key you provide in currency settings. Configure the refresh interval that suits your business and rates update on schedule.

Need an immediate update? Manual refresh pulls the latest rates on demand. When a client contract specifies a fixed rate, override the rate on that document without changing the global rate table.

Documents store the exchange rate applied at creation. Refreshing rates later leaves existing invoices, purchase orders and bills unchanged, so historical documents stay accurate. Only new documents use the updated rates.

Built in

  • Exchange-rate API integration with configurable refresh intervals
  • Manual rate refresh at any time
  • Override the exchange rate on a per-document basis
  • Documents store the rate applied at creation
  • Rate changes never alter existing documents retroactively
  • Exchange-rate API key
  • Configurable refresh interval
  • Manual refresh
  • Per-document override
  • Rate locked at creation

Tax Rates & Compliance

Tax in CrmLeaf is a set of named rates, such as GST 18%, VAT 20%, Sales Tax 8.25%, zero-rated or exempt, that users apply per line item. Because tax lives on the line, one invoice can carry an item at 18% GST and another at zero-rated, with totals calculated correctly.

An administrator creates the named rates once, in their own section under Settings. Users pick a rate from a dropdown when adding each line, across estimates, proposals, invoices, orders, purchase orders and bills.

When statutory rates change, create a new named rate instead of editing the old one, so historical documents keep their original rate. Client records hold their own tax registration and e-invoicing details, and for jurisdictions that require structured digital invoicing, the E-Invoice module handles compliant electronic submission.

Built in

  • Define named tax rates with a label and percentage
  • Apply any rate per line item and mix rates on one document
  • Same rates on estimates, proposals, invoices, orders, POs and bills
  • Create new rates for statutory changes to preserve history
  • Client tax registration details stored on customer records
  • Named tax rates
  • Per-line-item application
  • GST, VAT, sales tax
  • All document types
  • E-Invoice compatible

Per-Document Currency

Every priced document carries its own currency. Quote one client in USD, invoice another in EUR and raise a purchase order in GBP, all in the same account and the same week, without switching modes or workspaces.

A new document uses the current exchange rate at creation and locks it in. The client sees the agreed currency and amount, while your dashboards consolidate everything in your base currency.

The currency follows the document chain: an estimate raised in EUR converts to an invoice in EUR, and a proposal in GBP flows through to the order in GBP. Vendors carry a default currency too, so purchase orders default to the vendor's currency.

Built in

  • Each invoice, estimate, proposal, PO and bill carries its own currency
  • Exchange rate locked at document creation
  • Currency follows from estimate to invoice to payment
  • Vendor records carry a default currency for purchase documents
  • All transactions consolidated to base currency for reporting
  • Currency per document
  • Rate locked at creation
  • Currency follows the document chain
  • Vendor default currency
  • Base-currency consolidation
