How each report works

Income vs Expense Reports

The income vs expense report is the fastest way to answer the question every business asks: are we making more than we spend? It pulls invoiced and received revenue on one side and all logged expenses on the other, then lays them out by period so you can spot trends at a glance.

Use the category breakdown to see which expense categories are growing and which revenue streams are driving income. Switch between monthly, quarterly and custom date ranges, and compare the current period against the previous one to see whether you are trending up or down. Multi-currency setups are converted to your base currency for a like-for-like comparison, with the original currency kept in the detail rows.

Receivables & Aging Analysis

Outstanding receivables are cash sitting in someone else's pocket. The aging report groups every unpaid invoice into four buckets - 0-30 days, 31-60 days, 61-90 days and 90+ days - so you can see at a glance how much is current and how much is slipping into risk territory.

Drill down to a customer-wise breakdown to identify which clients consistently pay late. Use the totals to prioritise collection effort: a large balance in the 90+ bucket deserves a phone call, while a small balance in 0-30 can wait for the standard reminder cycle. The Outstanding Receivables and Overdue Amount tiles on the dashboard pull from this same dataset, so the numbers you see there always match the detail in the report.

Invoice & Payment Reports

The invoice report gives you a status summary - how many invoices are in draft, sent, paid or overdue - along with monthly trend lines that show whether your billing volume is growing and whether the paid-to-sent ratio is healthy.

On the payment side, track every received payment by method: bank transfer, credit card, cheque, cash or online gateway. The reconciliation status column flags payments that have been matched to invoices against those still pending, so finance teams can close the books faster. Together, the two reports cover the billing lifecycle end to end, from the moment an invoice is created to the moment payment clears.

Profit & Loss Statement

The P&L report follows the standard structure: revenue minus cost of goods sold minus operating expenses equals net profit. CrmLeaf populates each line automatically from invoices (revenue), product costs (COGS) and expense entries (operating expenses), so no manual journal entries are required.

Switch between monthly, quarterly and annual views to zoom in on a single month or out to the full-year picture. Each view shows the same line items at a different time granularity, so comparisons stay consistent. The Net Profit Margin tile on the dashboard is derived from this report, giving leadership a single-number health check without opening the detail view.

Cash Flow & Tax Reports

Cash flow is about timing: money coming in against money going out, and when each happens. The cash flow report shows inflows (received payments) against outflows (paid expenses, bills and vendor payments) by period, so you can see whether the business has enough cash to cover near-term obligations.

The forecasting view projects your future cash position from outstanding invoices (expected inflows) and upcoming bills and recurring expenses (expected outflows), giving you early warning if a cash crunch is on the horizon. The tax reports complement it by summarising tax collected on invoices and tax liability owed, so you can set aside the right amount before the filing deadline arrives.
