Creating BOQ and Triggering Material Requisitions

Why it matters: Building the BOQ at the task level, not the whole project, keeps material and labor tied to the specific work it's for.
- Open a Task within a Project milestone
- Click the BOQ tab
WHAT YOU SEE WHEN DONEan empty BOQ table is ready for line items, scoped to this task.
Add Material & Labor Line Items
Why it matters: Every quantity and cost entered here is what eventually becomes the client's invoice - accuracy here saves a correction later.
- Click Add Line Item for each material (e.g. mounting rails, clamps, inverter)
- Enter quantity and unit cost - total calculates automatically
- Add labor as its own line item with estimated hours and rate
WHAT YOU SEE WHEN DONEthe BOQ shows a running total across all material and labor line items.
Apply a BOQ Template
Why it matters: Most tasks repeat across projects - a template turns a 20-line BOQ into a 2-minute selection instead of manual entry.
- Click Load Template if this task type has a saved BOQ template
- Adjust quantities for this specific site's requirements
- Save as a new template if this combination doesn't exist yet
WHAT YOU SEE WHEN DONEline items populate from the template, adjusted for the current site.
Submit the BOQ for Approval
Why it matters: An approval step catches pricing errors or scope creep before material gets ordered against it.
- Click Submit for Approval
- The assigned Project Manager or Estimator reviews and approves or requests changes
WHAT YOU SEE WHEN DONEthe BOQ status shows Approved, with an approver name and timestamp.
Trigger the Material Requisition
Why it matters: This is the step that replaces a phone call to the warehouse - the requisition is generated automatically from approved BOQ data.
- Once approved, click Send Requisition
- The requisition routes automatically to the assigned Store Manager
- Confirm the requisition references this task and project
WHAT YOU SEE WHEN DONEa new Material Requisition appears in the Store Manager's queue, linked to this task.
Track Requisition Status
Why it matters: Visibility here is what prevents a task from starting installation before materials have actually arrived.
- Open the Requisition from the task's BOQ tab
- Check status: Pending, Fulfilled, or Partially Fulfilled
- Set a notification for when status changes to Fulfilled
WHAT YOU SEE WHEN DONEthe requisition status updates and notifies the task owner automatically.
Handle a Partial Fulfillment
Why it matters: Partial stock is common - handling it explicitly avoids a task being marked ready when it isn't.
- If the warehouse can only fulfill part of the requisition, it's marked Partially Fulfilled
- Review which line items are short
- Decide whether to delay the task or proceed with substitute material, updating the BOQ accordingly
WHAT YOU SEE WHEN DONEthe BOQ reflects any substituted materials, and the task's start date is adjusted if needed.
