Configuring Field Attendance & Geo-Tracking

Enable Mobile Attendance

Why it matters: Attendance tracked from a phone call at day's end is attendance that gets forgotten or rounded - mobile check-in fixes the habit, not just the record.
  1. Go to HRMS → Attendance → Settings
  2. Toggle on Mobile Check-In/Check-Out
  3. Confirm the CrmLeaf mobile app is installed on each technician's device

Turn On Geo-Tracking

Why it matters: Geo-tracking is what actually verifies a technician was on-site - without it, mobile check-in is just a faster way to self-report.
  1. Under Attendance → Settings, toggle on Geo-Tracking
  2. Set the acceptable radius around a project site for a valid check-in
  3. Confirm technicians have granted location permission to the app

Set Technician Work Hours & Shifts

Why it matters: Defined shifts are what let CrmLeaf flag a late check-in or an early check-out automatically, instead of a manager noticing weeks later.
  1. Go to HRMS → Shift Roster
  2. Create shift templates matching your team's actual working hours
  3. Assign each technician to their shift

Set Resource Hourly Rates

Why it matters: Without a rate on file, logged hours can't be marked billable - this is the link between attendance and invoicing.
  1. Go to HRMS → Employee Salary
  2. Set each technician's resource hourly rate
  3. Mark whether their standard hours are billable, non-billable, or a mix by task type

Review a Technician's Check-In Log

Why it matters: Spot-checking the log regularly catches a pattern - a chronically late check-in, a mismatched location - before it becomes a bigger issue.
  1. Go to HRMS → Attendance → Logs
  2. Filter by technician or date range
  3. Review check-in/check-out times against the assigned shift

Mark Logged Time as Billable

Why it matters: This is the step that turns attendance data into revenue - hours logged but never marked billable are hours you're not collecting on.
  1. Open a technician's timesheet
  2. Confirm hours are tagged to the correct Project and Task
  3. Mark applicable hours as Billable before the invoicing cycle runs

Handle a Missed Check-Out

Why it matters: A missed check-out left uncorrected either overstates or understates billable hours - neither is acceptable on a client invoice.
  1. Filter Attendance Logs for entries with no check-out time
  2. Contact the technician to confirm their actual end time
  3. Manually correct the log with a note explaining the adjustment
