How to Use Files Inside Deals

Attach contracts, site photos, and proposals directly to the deal they belong to - so nothing lives in a separate folder no one else can find.

Open the Files Tab on a Deal

Why it matters: Every deal has its own file storage built in - there's no separate folder structure to maintain or lose track of.
  1. Open any Deal record
  2. Click the Files tab, alongside Activity, Tasks, and Notes
WHAT YOU SEE WHEN DONEAn empty or populated file list scoped to just this deal.

Upload a File

Why it matters: A signed contract or a site photo uploaded here is visible to anyone with access to the deal - not sitting in one person's downloads folder.
  1. Drag and drop a file onto the Files tab, or click Upload to browse
  2. Supported types include PDF, images, Word, and Excel files
WHAT YOU SEE WHEN DONEThe uploaded file appears in the list with its name, size, and upload date.

Organize Files by Category

Why it matters: Tagging files as you go means finding "the signed contract" later takes one click instead of opening every PDF on the deal.
  1. Click the category dropdown next to any file
  2. Choose Contract, Proposal, Site Photo, Invoice, or Other
WHAT YOU SEE WHEN DONEFiles can be filtered by category from the Files tab.

Share a File Link With a Client

Why it matters: A shareable link means the client always has the current version - an emailed attachment can go stale the moment the file is updated.
  1. Click the Share icon next to the file
  2. Copy the generated link, or send it directly via the built-in email option
Note: Shared links respect the file's permission settings - a client can't access a file marked internal-only, even with the link.

Attach a File to an Email or Proposal

Why it matters: Pulling a stored file directly in means you're never attaching an outdated version from your downloads folder by mistake.
  1. When composing an email or proposal from the deal, click Attach from Deal Files
  2. Select the file - it attaches without needing to be re-uploaded

Set File Permissions

Why it matters: Not every file on a deal should be client-visible - internal cost breakdowns and margin notes need to stay internal.
  1. Click the permissions icon next to a file
  2. Set to Internal Only, Team Visible, or Client Shareable

Find Files Fast With Search

Why it matters: You shouldn't have to remember which deal a file was uploaded to in order to find it again.
  1. Use the global search bar and search by file name or client name
  2. Filter results to Files only if you're getting too many deal or contact matches
