Overview

Clocking in and out records your working day in CrmLeaf. Each attendance record captures the time, your IP address, your geolocation, and the shift you are assigned to, and it carries flags for whether the clock-in was late, whether the day is a half day, and whether you worked from the office or from home. This is the data your manager reviews and, where the Payroll add-on is enabled, the data payroll works from.

How It Works

You clock in at the start of your working day and clock out at the end. CrmLeaf compares the clock-in with your assigned shift and stores the context of the punch.

  • Clock-in is available from the dashboard modal, and it respects the shift assigned to you, so the same action behaves correctly on a morning or an evening shift.
  • Each record stores your IP address and your geolocation, which is shown on a map on the attendance record.
  • The record is linked to your shift. A clock-in after the shift start is flagged as late.
  • A record can be flagged as a half day, and as working from office or home.
  • Where your Administrator has enabled it, you can clock in and out using a QR code, or attendance can be captured automatically with your location.
  • Your attendance data feeds attendance reports and, with the Payroll add-on, payroll processing.

Who Can Use This Feature?

User

  • Clock in at the start of the working day and clock out at the end.
  • Record whether you are working from the office or from home.
  • Review your own attendance history.

Access depends on the modules and role assigned by your Administrator. Marking attendance on behalf of others is an Administrator task.

Prerequisites

  • You have an active CrmLeaf login linked to your employee record.
  • A shift is assigned to you, or a default shift is configured for the company.
  • Your browser or device allows location access, where your organisation records geolocation.
  • Where QR-code clock-in is used, the QR code is available to you at your workplace.

For Users

Step 1: Open the clock-in

You can also clock in from the dashboard, where the clock-in opens as a modal. The clock-in uses the shift assigned to you for that day.

Step 2: Set where you are working from

Select whether you are working from the office or from home before you clock in. This is stored on the attendance record for the day.

Step 3: Allow location capture

Allow location access when prompted. Your geolocation is stored with the record and shown on a map, alongside the IP address the clock-in came from.

Step 4: Clock in

Confirm the clock-in. If your organisation uses QR-code clock-in, scan the QR code instead. If the clock-in is after your shift start, the record is flagged as late.

Step 5: Clock out at the end of the day

Return to the same screen or dashboard modal and clock out. Clocking out completes the record for the day.

Step 6: Review your attendance

Open your own attendance view and check the days for the current month. Look for a missing clock-out, an unexpected late flag, or a day marked as a half day.

Expected Result

Your attendance record for the day is created with the clock-in time, IP address, geolocation and the linked shift, and shows the work-from choice. After clocking out, the day is complete and appears in your attendance history.

Service / PSA lens

Service Organisation Context

Attendance and time tracking answer different questions in a services firm, and it is worth being clear which is which. A clock-in records that someone was at work; it is not a timelog against a project or task, and it carries no billable flag, so it cannot tell you what an engagement consumed. What it does give a service organisation is the presence record behind payroll and, where the Resource Utilization add-on is enabled, part of the picture those views build from shifts, leave and holidays. Consultants working at a client site or from home are covered by the same record through the work-from flag and captured location.

Important Notes

  • Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
  • Clock-in respects the shift assigned to you. If your shift is wrong for the day, ask your Administrator to correct the roster rather than clocking in against the wrong hours.
  • Geolocation, the map and the work-from flag are part of core attendance. Fingerprint and card devices are driven by the separate Biometric add-on module.
  • If location access is blocked on your device, the location may not be captured with your punch.
  • You cannot change your own attendance record after the fact. Ask your Administrator to correct it.

Common Scenarios

Example: a home-working day. Select working from home before clocking in. The record stores the work-from choice along with your IP address and location, so the day is distinguishable from an office day in attendance reports.

Example: arriving after the shift start. Clock in as normal. The record is flagged as late because the punch is compared with your assigned shift. Raise the reason with your manager, who can correct the record if the shift was wrong.

Example: clocking in at a shared workplace terminal. Where your Administrator has enabled QR-code clock-in, scan the QR code to record the punch instead of opening the dashboard modal.

Troubleshooting

Frequently Asked Questions

Does CrmLeaf know which shift I am on when I clock in?

Yes. The clock-in from the dashboard modal respects your assigned shift, and the attendance record is linked to that shift.

Is my location stored every time I clock in?

Attendance records capture geolocation and show it on a map, alongside the IP address. What your organisation records depends on the attendance settings your Administrator has configured.

Can I clock in from my phone?

Yes. The CrmLeaf mobile app supports clocking in with face and GPS verification, described in How to Clock In with Face and GPS Verification.

Do I need a fingerprint device to record attendance?

No. Core attendance uses the map, IP address and work-from flag. Fingerprint and card hardware requires the Biometric add-on module.

Can I edit my own attendance?

No. Marking and correcting attendance is an Administrator task.
