Availability: All editions. Attendance is a core feature - no add-on is required. Face/photo verification and geolocation capture depend on attendance configuration made by your Administrator and on the device permissions you grant. Hardware fingerprint and card devices are a separate Biometric add-on module and are not part of mobile clocking.
Overview
CrmLeaf's mobile app lets you record your working day from your phone. Clocking in and out captures your attendance against your assigned shift, and can capture your device location and a verification photo at the moment you clock. This gives field and remote teams an attendance record that does not depend on being at an office device.
This article covers clocking in, clocking out, and reviewing your own attendance from the app.
How It Works
Mobile clocking writes to the same core attendance record as clocking from the web application. The record is linked to your shift, and the app can attach location and photo verification to the clocking event.
Open attendance → Clock in → Verify (photo + location) → Work → Clock out → Review my attendance
- Face/photo verification is tied to the clocking action itself, so the verification image belongs to that clock-in or clock-out event.
- Location tracking captures where the clocking happened. Core attendance also records the IP address and the work-from indication (office or home).
- Attendance is evaluated against your assigned shift, which is how the late and half day flags arise.
- Attendance data feeds HR reporting and, where the Payroll add-on is enabled, payroll processing.
Who Can Use This Feature?
User
- Clock in and clock out from the mobile app.
- Complete photo verification and allow location capture when prompted.
- Review your own attendance history in the my-attendance view.
Access depends on the modules and role assigned by your Administrator. Configuring attendance rules, shifts and geolocation options is an Administrator task covered in a separate article.
Prerequisites
- The CrmLeaf mobile app installed and signed in.
- A shift assigned to you by your Administrator.
- Attendance options configured for your account, including geolocation if location capture is expected.
- Camera and location permissions granted to the app on your device.
For Users
Step 1: Open the attendance area in the app
What to do: Open the attendance area of the mobile app. The app provides both an attendance view and a my-attendance view of your own records.
What to verify: Today's date is shown with no clock-in recorded yet.
Step 2: Clock in at the start of your shift
What to do: Start the clock-in action. Allow the app to use your location if it asks, and complete the photo capture step if your account uses face/photo verification.
What to verify: The clock-in is accepted and the recorded start time appears against today's attendance.
Step 3: Work your shift
What to do: Continue with your work. If you also track project time, log it separately in the time tracking screens - clocking attendance and logging project time are different records.
What to verify: Your attendance still shows an open clock-in for the day.
Step 4: Clock out at the end of your shift
What to do: Start the clock-out action and complete the same verification steps if prompted.
What to verify: The day now shows both a clock-in and a clock-out time.
Step 5: Review your attendance record
What to do: Open your my-attendance view and check the month's records, including any day flagged as late or half day.
What to verify: Every working day you attended has a record. Report a missing or incorrect day to your Administrator, who can mark attendance on your behalf.
Expected Result
Your clock-in and clock-out are recorded against your shift, with the captured location and verification photo attached to the clocking event, and the day appears in your attendance history and in Administrator attendance reports.
Service Organisation Context
For a service organisation with people deployed at client premises, a clock-in carrying location and a verification photo evidences attendance at a client site, not just that a working day started. Firms that bill travel or on-site presence, or that have to show a client who was there, depend on that. Travel reimbursement recorded from the same app puts a consultant's journey cost into the expense flow, where a billable expense can be recovered on the client invoice once approved. Attendance itself remains a core HR record used across every edition, including office-based staff who never leave the building.
Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- If you deny camera or location permission on the device, verification and location capture cannot be completed.
- Attendance clocking is not the same as project time tracking. Billable project time is logged against a project and task.
- Physical fingerprint and card devices are handled by the Biometric add-on module, not by the mobile app.
- Where an account uses QR-code clock-in, that option is configured in attendance settings by an Administrator.
Common Scenarios
Example: a technician starting at a customer site. The technician opens the app on arrival, clocks in with photo verification, and the device location is captured with the record. The Administrator can later see the clock-in time and location on the attendance report without the technician visiting the office.
Troubleshooting
| Issue | Possible Cause | Resolution |
|---|---|---|
| Clock-in is not accepted | No shift is assigned, or attendance options for the account do not allow the attempt | Ask your Administrator to confirm your shift assignment and the account's attendance settings. |
| No photo capture step appears | The account is not configured to use photo verification for clocking | Confirm the expected configuration with your Administrator. |
| Location is not recorded | Location permission was denied on the device, or geolocation is not enabled in attendance settings | Grant location permission to the app and ask your Administrator to confirm geolocation is enabled. |
| A day is marked late unexpectedly | The clock-in time was after the start of the assigned shift | Check the shift assigned to you. Ask your Administrator to correct the record if the shift is wrong. |
| A day is missing entirely | No clock-in was recorded for that day | Ask your Administrator to mark attendance for that day. |
Frequently Asked Questions
Is the verification photo stored with my attendance record?
Yes. Photo verification is tied to the clocking action, so the image belongs to that clock-in or clock-out event.
Can I clock in from the web application instead?
Yes. Core attendance supports clocking from the web application as well, and both write to the same attendance record.
Does clocking in log time against my project?
No. Project time is logged separately through time tracking.
Can my Administrator fix a wrong attendance day?
Yes. Administrators can mark and bulk-mark attendance, and can import attendance records.
