Overview
Projects can be read in several ways depending on the question you have. The list view is for filtering and scanning, the calendar view for timing, the pinned view for the projects you touch daily, the archive for closed work, and the card view for a visual portfolio summary that includes financial health. Choosing the right view saves opening every project to answer something simple.
How It Works
All views read the same project records and present a different subset of information. Every figure and action is gated by your permission scope, so you only see rows and numbers you are entitled to.
Open Projects → Choose a view → Filter or search → Read the summary → Open the project
- List - the standard table for filtering, searching and export.
- Archive - projects archived out of the active list. Calendar - projects placed against dates. Pinned - only the projects you have pinned.
- Card / grid - tiles showing title, progress bar, status, members and budget, task and milestone counts.
- The card view is edition-aware and embeds a budget-versus-actual health block reading on-track, warning or over-budget.
Who Can Use This Feature?
User
- Switch between the list, archive, calendar, pinned and card views.
- Pin and unpin the projects you work on most.
- Filter, search and export the project list where permitted.
- Read progress, counts and budget health from the card view.
Access depends on the modules and role assigned by your Administrator. Each figure on a card is shown only if your role allows it.
Prerequisites
- At least one project exists and is visible under your permission scope.
- The projects have milestones and tasks recorded, so the counts are meaningful.
- For the budget health block, the Budget module is enabled and the project has a budget.
For Users
Step 1: Open the projects list
The list view opens by default. Use Search and Filter to narrow by status, client or member, and Export if you need the data outside CrmLeaf.
Step 2: Switch to the card view
Each project renders as a tile carrying the title, a progress bar, the status, the members, and the budget, task and milestone counts, so you can compare projects without opening them.
Step 3: Read the budget health block
Check each card's budget-versus-actual indicator. It reads on-track, warning or over-budget, drawn from the Budget module. Open the project's Budget tab for the underlying figures.
Step 4: Read the edition-specific card details
The card view adapts to your edition. Solar CRM cards show system size, site, next payment and next maintenance. Construction CRM cards show built-up area, floors, building type and next payment. Manufacturing CRM cards show the BOQ value and open Material Requisitions.
Step 5: Use the calendar, pinned and archive views
Switch to the calendar view for projects against dates, the pinned view for your own shortlist, and the archive to find closed work. Pin a project from its record to add it to your pinned view.
Field and Option Reference
| Field / Option | Description | Required |

| Budget / task / milestone counts | Summary counts shown on the card. | n/a |
| Budget health | on-track, warning or over-budget, from the Budget module. | n/a |
Expected Result
You can move between the list, archive, calendar, pinned and card views of Projects and read status, progress, membership and budget health for every project you are permitted to see, without opening each record.
Why This Matters for Service Organisations
A service organisation usually runs many engagements at once, and the weekly question is not what is happening inside one project but which projects need attention. Opening each one does not scale past a handful of clients. These views turn the same records into a portfolio read, and the card view adds a financial dimension a task list cannot give.
How It Supports Professional Services
- A card carries progress, status, members and budget, task and milestone counts on one tile — close to the portfolio summary a delivery lead wants before a review meeting.
- With the Budget module enabled, each card embeds a budget-versus-actual health block reading on-track, warning or over-budget: the earliest visible signal that an engagement is consuming more than it was sold for.
- Filtering by client answers the account question — everything currently in delivery for one client organisation.
- The list view's filter and export are how many service organisations produce a portfolio extract, because no stored portfolio margin or utilisation figure is published.
- Every figure on a card is permission-gated per row, so consultants and practice leads can share one screen without exposing commercial figures.
Typical Service Workflow
Engagement → Delivery → Portfolio review → Intervention → Billing
These views sit at the review step. The health block is derived live from the Budget module; deciding what to do about a warning card — rescope, re-staff or raise a change request — is a practice the organisation runs, not something the product prompts.
Other Product-Type Use Cases
The card view is edition-aware, so the same screen becomes an installation portfolio in Solar CRM, a site portfolio in Construction CRM, and a production view showing BOQ value and open material requisitions in Manufacturing CRM.

Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- Every figure and action on a card is permission-gated per row. If a colleague sees a number you do not, the difference is permission.
- The budget health block needs the Budget add-on module. Confirm it is included in your plan.
- Edition-specific card details appear only in the matching edition. A Worksuite account will not show solar or construction attributes.
- The pinned view is personal to you and does not change what colleagues see.
Common Scenarios
Example: weekly delivery review. A delivery manager opens the card view before the weekly meeting, gives attention to any card reading warning or over-budget, and only opens those projects.
Troubleshooting
| Issue | Possible Cause | Resolution |
|---|---|---|
| No budget health shows on the cards. | The Budget module is not enabled, or the project has no budget. | Enable the module if it is in your plan and create a project budget. |
| Budget or cost figures are hidden on some cards. | Your role is not permitted to see those figures for those records. | Ask an Administrator to review your permission scope. |
| A project is missing from the list. | It is archived, or outside your permission scope. | Check the archive view and confirm your access. |
| Progress bars stay empty. | The project's calculate_task_progress toggle is off. | Turn the toggle on for the project. |
Frequently Asked Questions
Is the pinned view shared with my team?
No. Pinning is per user, so your pinned view is your own shortlist.
Does the card view show different information in each edition?
Yes. It surfaces the attributes that matter to Solar, Construction and Manufacturing accounts.
Where do the budget numbers on a card come from?
From the Budget module's budget-versus-actual figures for that project.
