PSA Tutorial 6 of 8
Give clients visibility through the Client Portal
Turn on client-facing visibility for project tasks, and confirm what clients can see and act on - invoices, estimates, proposals, and contracts - without an email chain.
Uses: Client Portal, Project SettingsOutcome: client portal live with the right visibility settings
1
Confirm the client has portal access
Why it matters: every client record is a real user account in CrmLeaf, which is what makes portal access possible without a separate setup step.
- Open the client's record under Clients.
- Confirm their login details are set and they've received their portal access invitation.
What you'll see: the client can log in to a portal showing their invoices, estimates, proposals, and contracts.
2
Enable client-facing task visibility
Why it matters: by default, task-level detail may be kept internal - this setting decides whether clients see task progress, not just top-line project status.
- Open Project Settings for the relevant project.
- Turn on client_view_task if you want the client to see individual tasks, not just overall project status.
- Leave it off for projects where only milestone-level status should be client-visible.
What you'll see: task-level detail becomes visible in the client's portal view of the project, if enabled.
3
Enable client notifications
Why it matters: visibility in the portal only helps if the client actually knows to check it - notifications close that gap.
- In the same Project Settings area, turn on allow_client_notification.
- This determines whether the client is notified of relevant project updates automatically.
What you'll see: the client receives a notification when relevant project activity happens, instead of needing to check the portal proactively.
4
Review what the client sees
Why it matters: confirming the client's view before they log in avoids an awkward surprise if something internal was accidentally made visible.
- Log in as the client (or use a preview mode if available) to see the portal exactly as they will.
- Confirm invoices, estimates, proposals, and contracts show correctly and that only intended task detail is visible.
The client portal shows documents (invoices, estimates, proposals, contracts) and, if enabled, task-level project detail. A dedicated "approve this milestone" button separate from accepting an estimate or proposal isn't a distinct documented feature - milestone sign-off in practice happens through the estimate/proposal acceptance flow or through project status visibility. Confirm exact behavior with the product team if a client-facing "approve milestone" action is a hard requirement.
What you'll see: a client portal that accurately reflects what you intend the client to see and act on.
