Overview
The Notice Board is where an organisation publishes announcements. Unlike a project discussion, a notice is broadcast rather than a conversation, and it can be aimed at a specific department, at employees, or at clients.
Notices carry read-tracking, so you can see whether the announcement actually reached its audience.
How It Works
You write the notice, choose who it is for, publish it, and then check who has read it.
Draft the notice → Choose the audience → Publish → Check read-tracking → Follow up
- A notice is targeted at a department, at employees, or at clients, so a client-facing announcement is not sent to staff and vice versa.
- Read-tracking records who has seen the notice, which turns "we announced it" into something you can verify.
- Notices are account-level communication, so they do not depend on project membership.
Who Can Use This Feature?
This functionality is available only to Administrators.
Administrator
- Create and publish notices.
- Target a notice at a department, at employees, or at clients.
- Review read-tracking to see who has seen a notice.
- Edit or delete a notice that is no longer accurate.
Prerequisites
- An Administrator account with access to the Notice Board.
- Departments must exist if you intend to target a notice at a department.
- The intended recipients must exist as employees or as client users in the account.
For Administrators
Step 1: Open the Notice Board
What to do: Open the Notice Board and review existing notices, so you do not publish a duplicate or contradict a recent announcement.
What to verify: Confirm which notices are still current.
Step 2: Create the notice
What to do: Select Add and write the notice. Put the essential fact in the title, because that is what people scan. Complete every mandatory field before saving.
What to verify: Read the notice back and confirm it says what to do and by when.
Step 3: Choose the audience
What to do: Target the notice at the department, at employees, or at clients, according to who needs it. Do not send a staff-only notice to clients.
What to verify: Confirm the audience selection before saving; a broadcast is hard to take back.
Step 4: Publish the notice
What to do: Select Save to publish the notice to the chosen audience.
What to verify: Confirm the notice appears in the Notice Board list.
Step 5: Check read-tracking and follow up
What to do: Review the read-tracking for the notice and follow up directly with the people who have not seen it.
What to verify: Confirm the read count is rising and that the people who must act have seen it.
Field and Option Reference
| Field / Option | Description | Required |
|---|---|---|
| Notice title | The heading shown in the notice list. Keep the essential fact here. | Yes |
| Notice detail | The body of the announcement. | Yes |
| Audience | Who the notice is for: a department, employees, or clients. | Yes |
| Department | The department targeted, when the notice is aimed at one department. | No |
Expected Result
The notice is published to the chosen audience, appears in the Notice Board, and read-tracking shows which recipients have seen it.
Service Organisation Context
A notice can be targeted at a department or at clients, which covers the two announcements a service organisation makes most often: an internal process change for the delivery or finance team, and an external notice such as support cover over a holiday period. Read-tracking turns "we told them" into something verifiable, which matters when the announcement carries a deadline such as a timesheet or expense cut-off. Keep client-facing notices free of internal detail, since a client user reads them through the portal. Any organisation can use the same board for company-wide operational announcements.
Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- Check the audience carefully. A notice aimed at clients is external communication.
- Read-tracking tells you a notice was opened, not that it was understood. Follow up on anything that requires action.
- Use the Notice Board for announcements and project discussions for conversation. Sticky notes are for a user's own private notes.
- Notices are also among the items surfaced in the CrmLeaf mobile app, so assume recipients may read them on a phone and keep them short.
Common Scenarios
Example: a department-only change. The finance team's expense cut-off date moves. The Administrator publishes a notice targeted at the finance department only, and checks read-tracking before the cut-off.
Example: a client-facing announcement. Support hours change over a holiday period. The Administrator publishes a notice targeted at clients, keeping internal detail out of it.
Troubleshooting
| Issue | Possible Cause | Resolution |
|---|---|---|
| A department cannot be targeted | The department does not exist in the account. | Create the department first, then publish the notice. |
| Employees say they never saw a notice | The notice was targeted at a different department or at clients. | Check the audience on the notice and republish to the correct one. |
| Clients cannot see a notice intended for them | The notice was targeted at employees, or the client has no active portal user. | Target clients, and confirm the client has a user account. |
| Read-tracking shows almost no reads | The audience is too broad, so the notice looks irrelevant to most recipients. | Target the specific department that must act. |
| The Notice Board cannot be opened | The signed-in user is not an Administrator or lacks access to the module. | Sign in with an Administrator account. |
Frequently Asked Questions
Can one notice go to both employees and clients?
The audience is chosen when the notice is created. If both groups must be told, review the audience options and, if needed, publish separately for each.
Can I see who has not read a notice?
Notices carry read-tracking, so use it to identify who still needs to see the announcement.
Should I use a notice or a project discussion?
Use a notice to announce something to a department, employees or clients. Use a project discussion for a conversation within a project.
