How to Complete a Construction Site Survey in CrmLeaf

Overview

The site survey is the first field step after a construction site is created. It captures what the survey team actually found on the ground, so that the assessment that follows is based on measured conditions rather than assumptions. The survey is its own record in the construction vertical and is linked to the site it belongs to.

A completed survey is the input to the construction assessment, which in turn drives the estimate and BOQ.

How It Works

You open the site, raise a survey against it, record the site conditions and observations, attach the evidence collected on site, and save the survey so that the assessor can work from it.

  • Each survey belongs to one construction site, so the survey history for a site stays together.
  • The survey record is separate from the site record, so a site can be surveyed more than once if conditions change.
  • The assessment that follows references both the site and the survey.
  • Field users can reach the site survey and approval screens from the CrmLeaf mobile app, which is useful when the survey is carried out on site.

Prerequisites

  • The construction vertical module enabled for your account.
  • The construction site already created, with its classification and attributes entered.
  • Permission to add and edit survey records under your assigned role.
  • For a survey carried out in the field, the CrmLeaf mobile app installed and signed in.

For Users

Step 1: Open the site you are surveying

Open the site record so that the survey is raised against the correct site. Confirm the site's work type and building type match the visit you are about to make.

Step 2: Raise the survey

What to do: select Add, choose the construction site, and record the survey date and the person carrying out the survey.

What to verify: the site shown on the survey is the site you visited.

Step 3: Record what you found on site

What to do: complete the survey fields with the conditions observed on site, including access to the site, existing structures, and the measurements the assessment will need. Where a field does not apply, record that rather than leaving the survey ambiguous.

What to verify: the recorded conditions are consistent with the site attributes already on the site record. Correct the site record if the survey contradicts it.

Step 4: Attach the evidence

What to do: Upload the photographs, sketches and other files collected during the visit and attach them to the survey.

What to verify: the attachments open correctly from the survey record.

Step 5: Complete and save the survey

What to do: complete every mandatory field, set the survey's status to show that field work is finished, and select Save.

What to verify: the survey appears in the survey list against its site and is available to select when the assessment is created.

Expected Result

The survey is saved against the construction site with the observed conditions and the site evidence attached, and it can be selected as the source survey when the construction assessment is recorded.

Important Notes

  • Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
  • The survey is a construction record in its own right. Editing the site record afterwards does not change what the survey captured.
  • Survey visibility follows the ownership-based permission scopes, so a surveyor may see only their own surveys while a manager sees all of them.
  • Attach the evidence at the time of the visit. The assessment and the estimate are both defended on the strength of the survey record.

Common Scenarios

Example: a renovation with restricted access. The surveyor records the access constraints and the condition of the existing structure, attaches photographs of the approach road and the existing slab, and completes the survey. The assessor uses those constraints when judging feasibility, and the estimate later prices the access limitation.

Example: a re-survey. Six weeks after the first visit the site conditions change. A second survey is raised against the same site rather than editing the first, so both sets of findings remain on record.

The CrmLeaf mobile app exposes site survey and approval screens for field users, so the survey can be captured during the visit.

Is a survey mandatory before an assessment?

The documented delivery flow runs site, then survey, then assessment. The assessment is intended to be based on a survey.
