Overview

A site survey is the field visit record for a solar site. It captures what the surveyor found, whether the installation is feasible, and the evidence for that conclusion in the form of photo, video and sketch uploads. The survey is the bridge between an approved site and the solar assessment where the system is designed.

How It Works

A survey is created against an approved solar site. It starts as a draft while the surveyor is still on site or still uploading media, is marked completed when the visit is finished, and is marked reviewed once someone in the office has checked it. Separately from status, the survey records a feasibility result and the access conditions at the property.

Create draft Capture findings Upload media Complete Reviewed

  • Photo, video and sketch uploads are attached to the survey, so the evidence stays with the record.
  • Surveys can be captured in the CrmLeaf mobile app, which is how most field surveys are recorded.
  • The feasibility result tells the design team whether to proceed, proceed with conditions, or stop.
  • The assessment that follows links the lead, the site, the survey and the assessor, so the survey must exist before the design is recorded.
  • A proposal can pull in site and survey data, so survey findings can reach the customer-facing document.

Who Can Use This Feature?

User

  • Create a survey against an approved solar site.
  • Record the access type and the feasibility result.
  • Upload photos, videos and sketches as evidence.
  • Move the survey from draft to completed, and mark it reviewed after office review.

Access depends on the modules and role assigned by your Administrator.

Prerequisites

For Users

Step 1: Open the site surveys screen

Check whether a survey already exists for the site before creating a new one.

Step 2: Create the survey against the site

Select Add and choose the solar site being surveyed. The survey is saved as a draft, which is the state you work in while the visit is under way.

Step 3: Record what you found

Complete the survey fields, including the access type at the property, and record the measurements and observations the design team needs. Complete every mandatory field.

Step 4: Upload the evidence

Select Upload and attach photos, videos and sketches. Photographs of the mounting surface, the meter position and the cable route are the most useful for the assessor.

Step 5: Set the feasibility result

Set the result to feasible, conditionally feasible or not feasible. If the result is conditional, state the condition in the survey notes so the assessor knows what must be resolved.

Step 6: Complete and submit for review

Change the survey status to completed and Save. After an office check, the status is set to reviewed.

Expected Result

The survey is saved against the site with a status, a feasibility result, an access type and its media attachments, and it can be selected when the solar assessment is recorded.

Important Notes

  • Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
  • Status and result are separate. A survey can be completed with a result of not feasible, which is a valid and useful outcome.
  • Upload media while you are still at the property. Returning for a missing photograph is the most common cause of delay in the solar flow.
  • The same underlying screen serves the Construction CRM edition as a construction site survey.

Common Scenarios

Example: a conditional result. The surveyor finds a suitable roof but an undersized incoming supply. The survey is completed with the result conditionally feasible, the condition is noted, and photographs of the supply and meter are attached. The assessor then designs to the constraint instead of discovering it during installation.

Troubleshooting

IssuePossible CauseResolution
The site cannot be selected on a new surveyThe site is not approved, or it is outside the user's permission scopeApprove the site, or ask an Administrator to widen the scope
Media will not uploadThe file exceeds the account's storage allowance, or storage is not configuredAsk an Administrator to check the file storage configuration and the account's storage limit
A survey cannot be selected on an assessmentThe survey is still a draft, or it belongs to a different siteComplete the survey and confirm it is against the right site
Field users cannot record surveys on mobileThe solar screens are gated by the account's product typeConfirm the account is on the Solar CRM edition and the user is signed in to it

Frequently Asked Questions

Can a site have more than one survey?

Yes. A resurvey is recorded as its own survey, and the assessment references the survey it was designed from.

Can I complete a survey on mobile?

Yes. Solar site-survey screens are part of the mobile app for Solar CRM accounts.

What is the difference between completed and reviewed?

Completed means the field visit and its record are finished. Reviewed means the record has since been checked.
