Overview
E-invoicing produces compliant electronic invoices for tax regimes that require invoices to be issued in an official electronic format rather than as a simple PDF. In CrmLeaf this is delivered by the E-Invoice add-on module, which has per-company settings and global settings, so a company's own tax identifiers sit alongside platform-level configuration.
How It Works
An Administrator enables the module, completes the company's e-invoicing configuration, and confirms that client records carry the tax details electronic invoicing needs. Invoices are then created in CrmLeaf as usual and issued in the compliant electronic form the module produces.
Enable module → Configure company settings → Complete client tax details → Issue invoice electronically → Verify compliance record
- Client records hold company address and tax or GST details along with e-invoicing fields, so the client master data is part of the setup, not an afterthought.
- Configuration is layered: per-company settings for your own account, plus global settings maintained at platform level.
- Ordinary invoice behaviour is unchanged - statuses remain
draft, unpaid, partial, paidandcanceled, and payments are recorded as usual. - Compliance obligations remain with your business. CrmLeaf produces the electronic invoice; it does not act as your tax adviser.
Who Can Use This Feature?
Administrator
- Enable the E-Invoice module for the account.
- Complete the company's e-invoicing configuration and tax identifiers.
- Ensure client records carry the tax details required for electronic invoicing.
- Verify that issued electronic invoices are accepted by the relevant authority or service.
This functionality is available only to Administrators.
Prerequisites
- Administrator access to CrmLeaf.
- Registration with the tax authority or e-invoicing service that applies to your country, and administrator rights there so you can obtain the credentials or identifiers CrmLeaf needs.
- Your company's tax registration details available and correct.
- Tax rates configured in CrmLeaf.
- Client records with complete address and tax details for the clients you will invoice electronically.
For Administrators
Step 1: Enable the E-Invoice module
What to do: Enable the E-Invoice module for the account so its settings become available.
What to verify: The e-invoicing configuration screen is reachable.
Step 2: Obtain what your tax authority or service requires
What to do: Register for electronic invoicing with the relevant authority or service provider and collect the identifiers and credentials they issue to you.
What to verify: Your registration is active and the credentials belong to the legal entity you invoice under.
Step 3: Complete the company e-invoicing configuration
What to do: Open the e-invoicing settings for your company and complete the configuration, including your tax registration details. Complete every mandatory value before saving, then select Save.
What to verify: The configuration saves without validation errors and the company is shown as configured for electronic invoicing.
Step 4: Complete client tax details
What to do: For each client you will invoice electronically, complete the address, tax or GST details and e-invoicing fields on the client record.
What to verify: The client record holds complete tax details before you raise an electronic invoice for that client.
Step 5: Issue one invoice and verify it
What to do: Raise one invoice for a properly configured client and issue it as an electronic invoice.
What to verify: The electronic invoice is produced and accepted, and the record in CrmLeaf reflects that it was issued electronically.
Expected Result
Your company is configured for electronic invoicing and invoices raised for correctly configured clients can be issued in the compliant electronic format, while normal invoice status and payment behaviour continues unchanged.
Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- This is an add-on module. Confirm plan inclusion before relying on it for statutory invoicing.
- E-invoicing rules, formats and deadlines change and vary by country. Confirm your obligations with a compliance adviser; CrmLeaf produces the output and does not file on your behalf unless that is agreed separately.
- Incomplete client tax details are the most common reason an electronic invoice cannot be issued. Treat client master data as part of the setup.
- Some e-invoicing configuration is global and maintained at platform level, so a change may need CrmLeaf support rather than a self-service edit.
Common Scenarios
Example: India GST invoicing. A company registered for GST completes its tax registration details in e-invoicing settings, fills GST details on its client records, and issues electronic invoices from the same invoices its sales team already raises.
Example: mixed client base. Only some clients require electronic invoices. Those client records are completed with full tax details first, while other clients continue to receive standard invoices.
Troubleshooting
| Issue | Possible Cause | Resolution |
|---|---|---|
| E-invoicing settings cannot be found | The E-Invoice add-on module is not enabled for the account | Enable the module in module settings, or confirm plan inclusion |
| An invoice cannot be issued electronically | The client record is missing tax or e-invoicing details | Complete the client's tax details and retry |
| The electronic invoice is rejected | Company tax registration details are incorrect, or tax rates do not match the required treatment | Correct the company configuration and tax rates, then reissue |
| A required setting cannot be edited | The setting is global rather than per company | Contact CrmLeaf support to change platform-level configuration |
