How to Configure WhatsApp and SMS in CrmLeaf

Overview
The SMS and WhatsApp layer lets your company reach leads, clients and employees on their phones from within CrmLeaf, using your own messaging provider. It supports message templates so recurring messages are consistent, and it keeps configuration per company so each account uses its own provider account and sender identity.
How It Works
An Administrator enables the module, chooses a provider, and enters that provider's credentials in the module's per-company settings. Message templates are then prepared for the messages you send regularly. When a message is sent, CrmLeaf passes it to your provider, which delivers it to the recipient. For Gupshup, a delivery webhook returns the delivery result to CrmLeaf.

- Supported providers are Twilio, Vonage and Gupshup, covering WhatsApp and SMS.
- Settings and templates are held per company, so credentials, sender identity and message wording are yours alone.
- Gupshup delivery reports arrive through a webhook, so CrmLeaf can record whether a message was delivered.
- Push notifications through OneSignal, Slack and Telegram are separate channels configured in the account's notification, Slack and push settings.
Who Can Use This Feature?
Administrator
- Enable the SMS module for the account.
- Select the provider and enter its credentials in the module's settings.
- Create and maintain message templates.
- Verify delivery and monitor the delivery webhook result where the provider supplies one.
This functionality is available only to Administrators.
Prerequisites
- Administrator access to CrmLeaf.
- An active account with Twilio, Vonage or Gupshup, with administrator rights there so you can create API credentials.
- A sender identity approved by your provider - for WhatsApp this normally means an approved business sender and, where the provider requires it, approved message templates on their side.
- Recipient phone numbers stored in the correct international format on your lead, client or employee records.
- Confirmation that your intended messages comply with the consent and messaging rules of the countries you send to.
For Administrators
Step 1: Enable the SMS module
What to do: Enable the SMS module for the account so its settings and templates become available.
What to verify: The module's settings screen is reachable.
Step 2: Set up the provider account
What to do: Sign in to your chosen provider and obtain the API credentials for your account, for example an API key and secret, plus your approved sender identity. For WhatsApp, complete any business verification and template approval the provider requires before you start sending.
What to verify: The provider account is active, funded where applicable, and able to send to your target countries.
Step 3: Enter the provider credentials in CrmLeaf
What to do: Open the SMS module settings for your company, select the provider you are using, enter its credentials and sender identity, and select Save.
What to verify: The provider is shown as configured for the company after saving.
Step 4: Create message templates
What to do: Create a template for each recurring message so wording stays consistent and does not have to be retyped. Where your provider also requires template approval on their side, keep the two aligned.
What to verify: Templates are saved and available when a message is sent.
Step 5: Send a test message and confirm delivery
What to do: Send one message to a phone number you control, using a template.
What to verify: The message arrives on the handset from the expected sender, and the provider dashboard shows the send. With Gupshup, confirm the delivery webhook result is recorded in CrmLeaf.
Expected Result
Your company can send WhatsApp and SMS messages through your own provider account, using saved templates, and delivery results are visible where the provider reports them.
Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- This is an add-on module. Confirm plan inclusion before designing a messaging process around it.
- Message charges are billed by your provider, not by CrmLeaf.
- WhatsApp business messaging normally requires sender verification and template approval by the provider. Allow time for that before go-live.
- Consent and messaging regulations differ by country. Confirm your obligations before sending to a new market.
Common Scenarios
Example: follow-up reminders to leads. A sales team keeps follow-up dates on deals and uses a short saved template to send a WhatsApp reminder, so every rep sends the same wording from the same business sender.
Example: delivery confirmation. A company sending through Gupshup relies on the delivery webhook so it can tell a genuinely undelivered message from one the recipient simply has not answered.

Can I use more than one provider?
The module supports Twilio, Vonage and Gupshup. Confirm with the product team whether more than one can be active at the same time.
Does CrmLeaf charge for messages?
No. Message costs are charged by your provider under your own account.
Are Slack and Telegram configured here too?
No. Those are separate notification channels configured in the account's notification and Slack settings.
Can Users send messages?
Configuration is an Administrator task. Whether a User can send a message depends on the module access their role has been given.
