How to Configure Solar Master Data in CrmLeaf

Overview
Solar master data is the set of company-configurable lists that the rest of the solar flow selects from. CrmLeaf ships a seeded set of solar master settings with every new Solar CRM account, and an Administrator then edits those lists so they describe how your company actually works. Because almost every later screen chooses from these lists, this configuration is the prerequisite for most other articles in this part of the manual.
How It Works
Master data is stored per company, so each account maintains its own lists. You configure the lists once, and they then appear as selectable options on solar sites, surveys, assessments, estimates, installation projects and maintenance schedules. Changing a list does not change records that already reference it.
Review seeded data → Edit or add types → Save → Types appear on solar forms
- The following master data types are configurable: roof types, permit types, installation types, inspection types, financing types and maintenance types.
- Subsidy schemes with their eligibility rules are configured alongside financing. See How to Configure Financing and Subsidy Schemes.
- Fixed status vocabularies, such as survey result or estimate status, are part of the product and are not configurable master data.
- Because the Construction CRM edition reuses several of the same underlying screens, its master settings are seeded separately for that edition.
Who Can Use This Feature?
Administrator
- Review the seeded solar master settings for the account.
- Add, edit and delete roof, permit, installation, inspection, financing and maintenance types.
- Keep the lists aligned with the permits and inspections your local authority requires.
This functionality is available only to Administrators.
Prerequisites
- Administrator access to a Solar CRM account.
- The list of roof constructions your crews survey, and the permits and inspections your projects must pass.
- The financing options and maintenance visit types your company offers.
For Administrators
Step 1: Open the solar settings area
What to do: Open the solar settings area for the account. The vertical-specific solar settings plug in to the standard Settings surface alongside company, tax and project settings.
What to verify: The solar master data lists are visible and already contain seeded entries.
Step 2: Configure roof and installation types
What to do: Review the roof types and installation types. Installation type on a site is recorded as roof, ground or tin, so make sure your roof types describe the roof constructions your surveyors meet. Add missing types and Save.
What to verify: Create a test solar site and confirm the type you added is selectable.
Step 3: Configure permit and inspection types
What to do: Add the permit types you must obtain and the inspection types your projects must pass. These feed the permit and inspection statuses that an installation project advances through.
What to verify: The permit and inspection types appear when you work an installation project.
Step 4: Configure financing and maintenance types
What to do: Add the financing types your company offers and the maintenance types you sell. Maintenance schedules are typed as preventive, corrective, emergency or inspection, so your maintenance types should sit sensibly within that structure.
What to verify: The financing types are selectable on a financial plan, and the maintenance types on a maintenance schedule.
Step 5: Remove what you do not use
What to do: Delete or disable seeded entries your company will never select, so field users are not offered irrelevant choices. Do this before your team starts entering live data.
What to verify: The remaining lists are short enough to be used quickly on a mobile device in the field.

Expected Result
All six solar master data lists reflect your company's real roofs, permits, inspections, financing options and maintenance offerings, and those values are selectable throughout the solar flow.
Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- All solar master data is company-configurable, so nothing here is shared with other accounts.
- Configure master data before the nine-step onboarding checklist takes you into sites and surveys, otherwise your first records will be missing options.
- Status vocabularies such as approval status, survey result and estimate status are product behaviour and cannot be renamed as master data.
Common Scenarios
Example: expanding into a new city. A new municipality requires an additional structural permit and a separate electrical inspection. The Administrator adds one permit type and one inspection type, and every installation project created afterwards can record those approvals without any change to the projects already in flight.

Does my account start empty?
No. A new Solar CRM account is seeded with solar master settings, so you start by reviewing and trimming rather than by typing everything.
Will editing a type change existing records?
Records that already reference a type keep their selection. Treat edits as forward-looking.
Are these lists shared with the Construction CRM edition?
No. Construction seeds its own master settings, even though several of the underlying screens are shared between the two editions.
