Overview
A solar site is the physical location you are going to install on, and it is the record every later stage of the solar flow hangs from. Onboarding a site captures how the array will be mounted, how the property connects to the utility, what meter is present and who owns the property. Sites go through an approval step and keep an audit trail, so you can see how a site record reached its current state.
How It Works
A site is created against a lead or a client, given its physical and electrical attributes, then submitted for approval. Once approved, it can be surveyed and assessed, and it becomes the anchor for the estimate, the installation project, the payment schedule and the maintenance schedule.
Create site → Record attributes → Approve or reject → Survey → Assessment
- Site onboarding writes to an audit trail, so changes to the record are traceable.
- The site's approval status controls whether the site is treated as confirmed for downstream work.
- A site survey is recorded against the site, and an assessment then links the lead, the site, the survey and the assessor.
- Sites can be the source document for a goods return, so material sent to a site can be returned against it.
- Solar site approval screens are also available in the mobile app for field users.

User
- Create a site against a lead or client and record its attributes.

Access depends on the modules and role assigned by your Administrator.
Prerequisites
- Solar master data configured, in particular roof and installation types. See How to Configure Solar Master Data.
- A lead contact or client record for the customer who owns the property.
- The property's utility connection and meter details.
For Users
Step 1: Open the solar sites screen
The list shows the sites you are permitted to see. Use Search and Filter to find an existing site before creating a duplicate.
Step 2: Create the site
Select Add and link the site to the customer's lead or client record. Enter the site's location and identifying details, then complete every mandatory field.
Step 3: Record how the array will be mounted
Set the installation type to roof, ground or tin, and select the roof type where the installation type is a roof. This drives the design work in the assessment.
Step 4: Record the electrical and ownership details
Enter the utility connection details, the meter type and the ownership of the property. Ownership matters because it affects who must authorise the installation and which subsidy schemes the customer may qualify for.
Step 5: Submit the site and Save
Save the site. It is recorded with an approval status so an Administrator can review it.
For Administrators
Step 1: Review the submitted site
What to do: Open the site and check the installation type, utility connection, meter type and ownership against what the customer told you.
What to verify: The audit trail shows who created and changed the record.
Step 2: Approve or reject the site
What to do: Select Approve if the record is correct, or Reject if it needs rework. The site's approval status updates.
What to verify: The approval status is visible on the site and the site can be surveyed.

Expected Result

Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- Site visibility follows the ownership-based permission scopes
none / owned / added / both / all, so a field user may see only their own sites. - The same underlying screens serve the Construction CRM edition, where the record is a construction site with its own attribute vocabulary.
- Get the installation type and roof type right at this stage. Both feed the assessment design and the BOQ that follows it.
Common Scenarios
Example: a tenant-occupied rooftop. The surveyor records installation type roof, the correct roof type, and an ownership value showing the occupier is not the owner. The Administrator holds approval until the owner's authorisation is on file, so no survey or estimate work is done on a site that cannot proceed.
