Overview

Worksuite is the default CrmLeaf product edition. It is the all-in-one configuration of the platform, combining CRM and sales, projects and tasks, time tracking, HR, invoicing and procurement in one account. Every CrmLeaf edition runs on the same engine; the edition decides which navigation, onboarding flow and terminology your account receives. This article explains what a new Worksuite account contains and the order in which to set it up.

How It Works

When a company account is created, CrmLeaf seeds a working baseline so the account is usable immediately. You then adjust that baseline, enable the add-on modules your plan includes, invite people and begin working records.

  • A default dataset is seeded at account creation, including currencies, roles and permissions, shifts, settings, task boards, pipelines, custom fields, dashboard widgets, a default organisation, and a subscription record.
  • Every company automatically receives a default organisation named after the company, so records have a workspace to belong to from the first day.
  • Sample data can be created during onboarding so you can explore populated screens before entering real records.
  • Add-on modules seed their own configuration rows when they are activated for the account.
  • The sidebar is produced by a menu layout defined per product edition, so a Worksuite account sees a Worksuite menu.

Who Can Use This Feature?

Administrator

  • Complete company profile, localisation, currency and tax configuration.
  • Enable the add-on modules included in the account plan.
  • Invite users, assign roles and set ownership-based record visibility.
  • Create additional organisations for branches, brands or business units.

User

  • Complete your own profile.
  • Pin frequently used screens to Quick Access.
  • Work the records your role gives you access to.

Access depends on the modules and role assigned by your Administrator.

Prerequisites

  • A CrmLeaf account created with the default (Worksuite) edition.
  • Administrator access to the account.
  • Your company legal name, address, base currency and tax details.

For Administrators

Step 1: Confirm what your plan includes

What to do: Review the modules available to your account and enable the ones you intend to use. Modules that are not part of your package cannot be switched on from here.

What to verify: Each module you enabled now appears in the sidebar for the roles that should use it.

Step 2: Complete the company profile and branding

What to do: Enter your company details and upload your logo. These values are used on client-facing documents such as estimates, proposals, contracts and invoices.

What to verify: Open any client-facing document preview and confirm the company details are correct.

Step 3: Set localisation, currency and tax

What to do: Confirm your base currency, add any additional currencies you invoice in, and configure the exchange rate settings. Then configure your named tax rates under Settings → Tax and your default language under Settings → Language.

What to verify: Create a draft document and confirm the correct currency and tax rates are selectable.

Step 4: Invite your team and scope their access

What to do: Add your people, then set each role's record visibility. CrmLeaf permissions return a scope, not a simple yes or no: none, owned, added, both or all. A sales representative with owned on Leads sees only their own leads; a manager with all sees every lead.

What to verify: Sign in as a test User, or ask a colleague to confirm they see only the records they should.

Step 5: Prepare the CRM before you import data

What to do: Review the seeded pipelines and their stages and adjust them to match how your team sells. Do this before importing leads or publishing a web-to-lead form, because new deals arrive at the first stage of the selected pipeline.

What to verify: The pipeline you intend to use exists, its stages are in the right order, and the first stage is the one that should receive new work.

For Users

Step 1: Complete your profile

Enter your details and confirm your contact information is correct, because it is used on records you own and on outgoing documents.

Step 2: Tailor your navigation

Pin the screens you use every day to Quick Access. Quick Access items are saved for you in this company, so they follow you between sessions but do not change what your colleagues see.

Step 3: Start with the CRM

Create your first lead contact, then create a deal for the opportunity it represents. From there the record flows forward to estimates, proposals, invoices and projects.

Expected Result

Your Worksuite account has correct company, currency and tax details, only the modules you use are enabled, your team can sign in with the right record visibility, and your sales pipelines are ready to receive leads and deals.

Important Notes

  • Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
  • Add-on modules are plan-gated. If a module cannot be enabled, confirm that it is included in your plan before planning work around it.
  • A menu layout can move, rename, group or hide a feature, but it can never grant access to a feature your account does not include.
  • Sample data is intended for exploration. Decide whether you want it before you start entering real records, so you do not have to separate the two later.

Common Scenarios

Example: one account, two branches. A company runs two branches that share customers but report separately. The Administrator keeps one CrmLeaf company account and creates a second organisation alongside the default one, then filters leads and deals by organisation for each branch.

Example: sales first, HR later. A team wants to start selling immediately. The Administrator configures company details, currency, tax and pipelines in week one, and returns to employees, attendance and leave configuration once the CRM is in daily use.

Troubleshooting

Frequently Asked Questions

Can I change my product edition after signup?

The edition is set on the company account at signup and drives onboarding, navigation and vertical terminology. Contact CrmLeaf support to discuss changing it; the change is not documented as a self-service setting.

Does Worksuite include Payroll?

Payroll is a paid add-on module in every edition. It must be enabled for your account before its screens appear.

Can the same person work in two CrmLeaf accounts?

Yes. The same email address can be a user in several companies. A workspace picker appears when you belong to more than one, and company-specific session data is cleared when you switch.

Do I have to use the seeded pipelines?

No. Pipelines and stages are fully configurable. Adjust them before importing data so that new deals land where you expect.
