What's New NEW
R26.11 · Nov 2026Each user can now choose a Light, Dark–Navy or Dark–Charcoal theme from their own profile. The choice applies across the whole app.
Overview
Appearance lets each person choose how CrmLeaf looks to them. Pick the standard Light theme, or one of two dark themes: Dark–Navy or Dark–Charcoal. The setting belongs to you. It does not change what colleagues see and it is not a company-wide setting.
How It Works
Open Profile → Appearance → Choose a theme → Applied across the app
- There are three choices: Light, Dark–Navy and Dark–Charcoal.
- The theme applies app-wide: listings, detail pages, dashboards, calendars, charts and payroll screens.
- It is a per-user preference, not a per-company one.
- You pick an explicit theme. There is no “match my device” option.
- It is separate from the company's theme and branding settings, which an Administrator sets for the Admin, Employee and Client panels. See How to Configure Your Company Profile and Branding.
Who Can Use This Feature?
User
- Choose and change your own theme at any time.
Administrator
- Choose their own theme like any other user. Appearance does not change the company's branding.
Every signed-in user can set their own Appearance. It needs no special permission and no add-on.
Prerequisites
- A signed-in CrmLeaf account.
For Users
Step 1: Open your profile
What to do: Open your profile and choose Appearance.
What to verify: You can see the three themes: Light, Dark–Navy and Dark–Charcoal.
Step 2: Choose a theme
What to do: Select the theme you want. Dark–Navy has a blue-black background and Dark–Charcoal a neutral grey-black one. Pick whichever is easier on your eyes.
What to verify: The app changes to the theme you picked.
Step 3: Check a few screens
What to do: Open a listing, a dashboard and the calendar.
What to verify: Text, tables and charts are readable. If you prefer the original look, return to Appearance and choose Light.
Expected Result
The whole app, including listings, detail pages, dashboards, calendars and charts, shows in the theme you chose, and only your own view is affected.
Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- Appearance is yours alone. An Administrator cannot set it for you, and your choice does not change your colleagues' view or the company branding.
- The company's own theme settings (
Settings → Theme) are separate and apply to the whole company. - Documents that clients open, such as quotes and invoices on public links, show your company's branding. Whether they follow your personal theme has not been confirmed.
Common Scenarios
Example: working in the evening. A project manager who reviews timesheets late in the day switches to Dark–Charcoal for the evening and back to Light in the morning. Colleagues on the same account are not affected.
Troubleshooting
| Issue | Possible Cause | Resolution |
|---|---|---|
| You cannot find Appearance | Menu labels differ, or you are looking at company settings instead of your profile | Open your own profile. Appearance is a personal setting, not a company one. |
| A colleague still sees the light theme | Appearance is per user | Each person chooses their own theme. |
| You want the dark theme for the whole company | Appearance is not a company setting | Ask each person to choose it. The company theme settings do not provide a dark mode. |
| The app does not follow your device's dark mode | There is no “match my device” option | Choose a dark theme explicitly. |
