Overview
If your email address is a user in more than one CrmLeaf Company, or if your Company has more than one Organization, you switch between them with the workspace picker. The workspace you have selected decides which records you see and which workspace new records belong to.
This article shows how to switch safely and what changes when you do.
How It Works
Your Company and your selected Organization are held in your signed-in session. When you switch, CrmLeaf changes the session and clears the state that belonged to the previous Company, so nothing carries across.
Sign in → Workspace picker → Select Company → Select Organization → Session state flushed → Work
- The picker appears when you belong to more than one workspace. If you belong to only one Company with one Organization, there is nothing to choose and no picker is shown.
- Switching Company flushes company-specific session state. Any filter, selection or unsaved context from the previous Company is discarded.
- Your selected Organization is validated on every request, so you cannot end up working against a workspace you are not entitled to.
- Your role and permission scope are set per Company. You may be an Administrator in one account and a regular User in another.
- Records you create are stamped with the workspace that was active at the time.
Who Can Use This Feature?
User
- Switch between the Companies you have been invited into.
- Switch between the Organizations available to you inside a Company.
- Confirm which workspace is active before creating records.
Access depends on the modules and role assigned by your Administrator. You can only switch to workspaces you have been given access to.
Prerequisites
- You are a user in more than one Company, or your Company has more than one Organization. Otherwise there is nothing to switch between.
- You are signed in.
For Users
Step 1: Open the workspace picker
What to do: Open the workspace picker. It is shown after sign-in when you belong to more than one Company, and it is also available while you are working so you can change workspace without signing out.
What to verify: The picker lists every Company you belong to and the Organizations available to you.
Step 2: Finish or save your work first
What to do: Save any open record before switching. Switching Company flushes company-specific session state, so do not switch in the middle of a form.
What to verify: No unsaved form is open.
Step 3: Select the Company
What to do: Select the Company you want to work in. CrmLeaf loads that account, applies your role in that account, and clears the previous account's session state.
What to verify: The Company name shown in the interface is the one you selected, and the modules available match that account's plan rather than the previous one.
Step 4: Select the Organization
What to do: Select the Organization - the branch, brand or business unit - you need. New Companies have a single default organisation named after the company.
What to verify: A list you know well, such as leads, shows the records you expect for that workspace.
Step 5: Confirm before you create records
What to do: Make it a habit to check the active Company and Organization before you create a record, import a file or run a report.
What to verify: The record you create appears in the workspace you intended.
Expected Result
The interface shows the Company and Organization you selected, your permissions for that account are applied, session state from the previous Company has been cleared, and new records are created in the selected workspace.
Important Notes
- Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
- The sidebar itself can change when you switch Company, because navigation is configured per product edition and each account may be on a different edition.
- Your Quick Access pinned items are saved per user and per Company, so each account keeps its own pinned list.
- Personal access tokens are pinned to the Company and Organization that were active when the token was created. Switching workspace in the browser does not change what an existing token can reach.
- A record cannot be seen from another Company under any circumstances. If you need it there, it has to be created there.
Common Scenarios
Example: a consultant serving several clients. A consultant is a user in three client Companies with one email address. Each morning they sign in, pick the client they are working for, and work only in that account. Because switching clears session state, there is no chance of a filter from one client affecting another.
Example: a regional manager. A manager works across two branches in the same Company. They switch Organization to review each branch's leads, and switch back to the main organisation for head-office work.
Troubleshooting
| Issue | Possible Cause | Resolution |
|---|---|---|
| No picker is available | You belong to only one Company and one Organization | This is expected behaviour. Ask your Administrator if you should have access to another workspace. |
| A Company you expect is missing from the picker | You have not been invited into that Company with this email address | Ask that account's Administrator to invite your email address as a user. |
| Records disappear after switching | You are now in a different workspace, so a different set of records is in scope | Switch back to the workspace where the records were created. |
| Menus look different after switching | The two accounts are on different product editions or different menu layouts | This is expected. Use Search or Quick Access to find a screen. |
| A module is missing in one account only | That account's plan does not include the add-on module | Ask that account's Administrator to confirm the module is included and enabled. |
Frequently Asked Questions
Do I need a separate password for each Company?
No. The same email address is used as a user in each Company, and the picker lets you move between them after sign-in.
Will my role be the same in every Company?
No. Roles and permission scopes are set per Company by that account's Administrator.
Does switching Organization sign me out?
No. The selection is held in your session. Company-specific session state is cleared when you change Company.
Can I be in two workspaces at once?
Your session has one active Company and one active Organization. Switch when you need the other one.
