How to Configure Your Company Profile and Branding in CrmLeaf

Overview

The company profile holds the identity of your account: the company details that appear on documents your clients receive, and the branding and appearance settings that shape the interface. It is the first step in every edition's onboarding checklist because later configuration and documents depend on it.

Configure it before you send your first estimate, proposal, contract or invoice.

How It Works

Company and branding configuration is grouped into four settings areas. You complete the company record first, then adjust appearance, application-level preferences and any custom links you want to expose.

  • Company holds your organisation's own details. These details are used where CrmLeaf presents your business, including the public pages clients open for estimates, proposals, contracts and invoices.
  • Theme controls the appearance of the interface.
  • App holds application-level preferences for the account.
  • Custom link lets you expose additional links for your account.
  • Notifications your account sends, including budget threshold alerts, are sent using your company's own branding and its configured mail settings.
  • Settings apply to the whole Company and therefore to all of its Organizations.

Who Can Use This Feature?

Administrator

  • Maintain the company record and its details.
  • Configure theme, application and custom link settings.
  • Confirm the branding that clients see on public document pages.

This functionality is available only to Administrators.

Prerequisites

  • An active CrmLeaf Company.
  • Your company's legal name, address and contact details.
  • Your logo file, if you are applying branding.

For Administrators

Step 1: Complete the company record

What to do: Complete the company record fields, including the company name and the primary contact details, and Save. Complete every mandatory field. Upload your logo here if you want it applied to the account.

What to verify: The saved company name appears in the interface and no validation messages remain.

Step 2: Set the theme

What to do: Theme settings are set separately per panel — Admin, Employee and Client each get their own theme and primary colour, so you can give the client portal a different look from the internal interface if you want to. Alongside the per-panel themes you can set the app name, the sign-in screen's theme and background image, the header colour, and separate light and dark logo variants and a favicon. Adjust what you need and Save. This screen requires the Manage Theme Setting permission.

What to verify: Reload a screen and confirm the appearance change is applied for the panel you changed.

Theme settings affect the signed-in interface for each panel, including the client portal. They do not affect the public, unauthenticated pages a client opens from a signed document link — those follow your invoice and estimate template settings instead.

Step 3: Review application settings

What to do: Review your account's own application preferences and Save any change: default currency, timezone, locale/language, date format, time format, whether the dashboard clock is shown, whether employees can export data, the number of rows shown per page in lists, and whether client self-signup is allowed (and whether a client's self-signup needs your approval).

What to verify: The behaviour you changed takes effect for a test user.

What to do: Add the links your account needs and Save.

What to verify: The link is reachable for the users who need it.

Step 5: Check the result on a client-facing document

What to do: Open the public page or PDF of an existing estimate or invoice and check that your company details and branding appear as intended.

What to verify: The company name, contact details and logo are correct on the document a client would receive.

Expected Result

Your company details, logo and appearance settings are saved for the account, and the documents your clients open show your business correctly.

Important Notes

  • Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
  • Company settings apply to the entire Company, including all of its Organizations. There is no separate branding per Organization.
  • Completing the profile is the first step in every edition's onboarding checklist. Do it before configuring currency, tax and invoice settings.
  • Per-company subdomains for white-label hosting are provided by the Subdomain add-on module. Confirm it is included in your plan before promising a branded address.
  • Email sent by your account uses your own mail configuration. Configure it in notification and SMTP settings.

Common Scenarios

Example: preparing to invoice. A new account completes the company record and uploads a logo, then configures currency, tax and invoice settings. The first invoice sent to a client shows the correct legal name, address and logo on the public payment page.

Example: a rebrand. The company changes its trading name. The Administrator updates the company record and logo once; documents generated afterwards use the new details.

Does the company profile affect invoice numbering?

No. Numbering prefix, due-after days and the PDF template are configured in invoice settings.

Who can edit these settings?
