Overview

Saved Views lets you name the filters, columns and sort order you have set up on a listing screen, and come back to that exact view later instead of rebuilding it. You can keep a view private to yourself, share it with your team, or, where you have the right to, make it the view a whole Organization sees by default.

How It Works

You set up filters, columns and a sort order on a listing screen the way you normally would, then save that state under a name instead of losing it when you navigate away.

  • A saved view captures the filters, view mode (table, board or calendar where the screen supports more than one), column selection and sort state as they were when you saved it.
  • Three visibility levels exist: Private, Team and Org. Private is visible only to you. Team is visible to everyone in the workspace it was saved in. Org is visible to everyone in the Company, and opens automatically for anyone who has not set up a view of their own.
  • One view per screen can be marked as your default, and marking a new one as default clears the flag from your previous default on that screen.
  • Views can be pinned for quick access, separately from the default flag.
  • A screen allows up to 50 saved views per person, and a view's name must be unique among your own views on that screen.
  • Saved Views is available screen by screen — most major listing screens support it, but not necessarily every screen in CrmLeaf.

Who Can Use This Feature?

Administrator

  • Everything a User can do (see below).
  • Save a Team- or Org-visible view for others to use, where your role permits it.

User

  • Save your own filtered view of a listing screen, and reopen it later.
  • Set one of your own views as your default for that screen.
  • Pin a view for quick access.
  • Rename, update or delete a view you created.

Saving a Private view needs no special permission.

Prerequisites

  • You are on a listing screen that supports Saved Views.
  • The filters, columns or sort order you want to save are already set up on screen.

For Users

Step 1: Set up the view you want to keep

What to do: On a listing screen, apply the filters you want, choose the columns to show, and set the sort order.

What to verify: The screen shows exactly what you want to save.

Step 2: Save it as a named view

What to do: Save the current state under a name that will make sense to you later. Choose its visibility — Private to keep it to yourself, or Team/Org to share it, where your role allows.

What to verify: The named view appears in the screen's saved-views list.

Step 3: Pin it, or set it as your default

What to do: Pin a view you use constantly for quick access, or set one view as your default for that screen so it opens automatically. Setting a new default clears the previous one.

What to verify: Reopening the screen shows your default view, and pinned views are easy to find.

Step 4: Update or delete a view

What to do: Rename a view, overwrite it with the filter state currently on screen, or delete it when it is no longer useful.

What to verify: The change is reflected the next time you open the saved view.

Expected Result

Your filtered, sorted and column-configured view of a listing screen is saved under a name, reopens exactly as you left it, and is visible to the audience you chose.

Important Notes

  • Menu names and their position can differ between product editions and can be customised for your account, so your sidebar may not match these paths exactly. Use Search or your Quick Access items if you cannot find a screen.
  • An Org-visible view opens automatically for a teammate who has not saved a view of their own on that screen — consider what you are setting as everyone's default before choosing Org visibility.
  • A screen allows up to 50 saved views per person; delete ones you no longer use rather than accumulating them indefinitely.
  • Saved Views is enabled screen by screen. Its absence on a particular listing screen does not mean anything is broken — that screen may not support it.

Common Scenarios

Example: a personal daily view. A salesperson filters Deals to their own open opportunities sorted by close date, saves it as Private, and sets it as their default so it is what they see every morning.

Example: a shared team queue. A support lead filters Tickets to unassigned, high-priority items and saves it as Team-visible, so every agent on the team sees the same queue without rebuilding the filter.

Example: an organization-wide default. An Administrator sets an Org-visible view on the Employees screen showing only active employees, so it becomes the default for anyone who has not configured their own.

Who can see a view I save?

Only you, unless you choose Team (your workspace) or Org (your whole Company) visibility when saving it.

Can I have more than one saved view on the same screen?

Yes, up to 50 per person on a given screen.

What happens if I set a new view as my default?

Your previous default on that screen is cleared, so only one view can be your default at a time.

Is Saved Views available on every listing screen?

No. It is enabled screen by screen, and most major listing screens support it, but not necessarily every one.
